Trainee Events Assistant

The opportunity

Our unique media platform and marketing consultancy offers a wide range of event management opportunities to keep the successful candidate busy and motivated while gaining a wealth of knowledge and experience. There’s always something new to work on; no one day is the same!

This is a home-working role with some requirements to attend events in person (sometimes in the evening) so some degree of flexible working is required. The Events Assistant may be asked to have monthly, in-person meetings with the director at the Cardiff office.

Main Responsibilities

To support the Director in event planning and management, for bespoke and large-scale events, including online, in-person and hybrid style event formats, including:

  • Working with the marketing and public relations departments to prepare budgets, setting deadlines, creating concepts and identifying the objectives of the event
  • Implementing budget, invoicing and logistics
    Selecting and negotiating with vendors and monitoring their activities to ensure quality control
  • Managing the promotions, communications and branding aspects of the event
  • Supervising Caterers, external event coordinators and security teams
  • Resolving problems and guest inquiries before and during the event
  • Approving all activities for the event
  • Preparing reports and in time, presenting to the director and potentially clients post event
  • Liaising with sponsors, speakers, event partners and clients, and our digital marketing team to ensure successful collaborations and outcomes

Any evening work / travel to and from events will be covered by the company. Travelling to the office for meetings should be funded by the employee unless otherwise stated. The Director is happy to be flexible about in-person meetings for work but there is a requirement for the individual to be available to attend events to support the director and other agencies.

As this is a home-working role, access to a computer, webcam, phone and the internet are essential requirements for this position. We are happy to be flexible around when and where the successful candidate works, so long as events and the work is managed efficiently and effectively.

Our 2022 events programme is filling up fast and offers fantastic opportunity for an aspiring events co-ordinator to cut their teeth on a range of different event formats, work on high profile events and with clients based across England and Wales.

Essential skills

A successful Events Assistant candidate will desirably have:

  • Excellent organisational and coordination skills
  • Communication and negotiation skills
  • Ability to use a PC and promotion tools such as social media channels
  • Good with customers
  • Excellent attention to detail
  • Great time management skills
  • Great initiative
  • A creative eye
  • Project management experience preferred but not required
  • Multitasking and task prioritisation skills
  • The ability to travel to events when required, including those held in the evening (with travel expenses approved and funded by the employer)
  • As this is a home-working role, access to a computer, webcam, phone and the internet are essential requirements for this position. (The kickstart grant can help towards any of these costs for equipment to work from home)

Additional Employability Support

Legal News Wales & Emma Waddingham Consulting Ltd has a working relationship with our gateway Welsh ICE & GoConnect, an education and training company based on-site who specialise in delivering engagement, employability, and digital skills training for young people within the target age group.

GoConnect will be working alongside all placements (unless the employer has demonstrated a capability to deliver the same quality training in-house) offering weekly workshops and holistic support to ensure all young people are offered valuable work-based training. Workshops will be delivered on the areas identified in the requirements (attendance, timekeeping, communication, teamwork, travelling to work, CV, and interview skills, looking for work) as well as further key skills including digital literacy, confidence building, problem solving, decision making and mental health.

We will also be working with other partners to offer specialist workshops and help as requested by participants and to further support underrepresented groups. Based on past engagements we expect mental health training and coping mechanisms to be popular as well as introductory sessions on digital marketing, branding, design, and coding. All employers have signed an agreement releasing staff to attend these sessions at least bi-weekly and GoConnect have already started planning their delivery.
